  1. 1. Who This Page Is For

    This page explains what Leadlord Inc. stores about a firm that uses the Leadlord platform, about the people the firm invites, and about the Meta, LinkedIn, and Microsoft identities the firm connects, and how to have that information deleted. It applies to firm workspaces on app.leadlord.ai and to identities connected through Facebook Login, LinkedIn, and Microsoft sign-in.

    If your personal information was submitted to Leadlord by a firm (for example as a caller, a prospect, or a meeting attendee), the firm decides how it is used. Contact that firm first; you may also write to privacy@leadlord.ai and we will forward or handle the request as the Privacy Policy describes.

  2. 2. What Leadlord Stores About a Firm

    • Firm facts: legal name, office locality, website, the people named as administrator, billing contact, and signer, and the researched facts the firm confirmed during onboarding.
    • Authorized Users: name, work email address, role (Firm Administrator, Campaign Manager, Authorized Reviewer), invitations, and sign-in records.
    • Campaign material: offers, creative, landing pages, review decisions, approvals, comments, and change history.
    • Incoming-call and booking records: the firm's telephone numbers, caller numbers, call routing, call outcomes, and appointments created for the firm.
    • Agreements and billing: the signed service agreement, invoices, payment receipts, and telephony cost records.
    • The firm audit record: who did what, in which capacity, and when.
  3. 3. Connected Provider Identities

    When a Firm Administrator connects a provider account, Leadlord stores only what it needs to act on the firm's behalf:

    • Meta (Facebook Login): the identifiers of the selected ad account, Facebook Page, and Business, the connected user's Meta identifier and name, the granted permissions, and an encrypted access token.
    • LinkedIn: the identifiers of the selected ad account and organization, the connected member's LinkedIn identifier, the granted scopes, and encrypted access and refresh tokens.
    • Microsoft: the firm's tenant identifier, the connected mailbox or calendar identity, the granted permissions, and encrypted tokens used to create and update meetings and send registry emails.

    Tokens are stored encrypted and are never shown to Leadlord staff or to the firm. Leadlord never stores a provider password.

  4. 4. How to Request Deletion

    Any of the following starts a deletion:

    • Disconnect the provider in the platform. A Firm Administrator opens Admin, then Advertising or Integrations, and chooses Disconnect for Meta or LinkedIn, or removes the Microsoft connection. Leadlord deletes the stored tokens and the account linkage immediately; the firm's own provider account is untouched.
    • Email hello@leadlord.ai from the firm's registered Firm Administrator address with the subject "Data deletion request", the firm's name, and what to delete: a connected provider identity, an Authorized User, specific campaign material, or the whole workspace.
    • Individuals may email privacy@leadlord.ai to exercise the rights described in the Privacy Policy.

    We may ask for confirmation from the firm's Firm Administrator before deleting a whole workspace or a record that other Authorized Users rely on.

  5. 5. Removing Leadlord From Your Facebook Account

    If you used Facebook Login to connect Meta, you can also remove Leadlord's access from Facebook directly. In Facebook, open Settings & privacy, then Settings, then Apps and websites, find Leadlord, and choose Remove. Meta then revokes the permissions you granted.

    Removing the app on Facebook stops Leadlord's access but does not by itself tell Leadlord to delete the stored identifiers. Disconnect Meta in the platform, or email hello@leadlord.ai as described in Section 4, and Leadlord deletes the Meta user identifier, the granted permission list, the encrypted token, and the ad account, Page, and Business linkage for that connection.

  6. 6. What Is Deleted

    • On provider disconnection: the encrypted tokens, the connected user identifier, the granted permissions or scopes, and the selected account linkage for that provider.
    • On removal of an Authorized User: their account, invitation, and sign-in records; their name stays on decisions they made in the audit record.
    • On a workspace deletion request: firm facts, Authorized Users, campaign material, landing pages, call and booking records, and every connected provider identity, after any wind-down agreed with the firm.
    • Backup copies are removed when the backup that contains them expires on its rotation schedule.
  7. 7. What Is Retained and Why

    Some records must be kept after a deletion request:

    • Signed agreements, invoices, payment receipts, and telephony cost records, for the period required by Canadian tax and commercial law.
    • The firm audit record and security logs, to the extent needed to evidence approvals, resolve disputes, and meet legal obligations; personal details in them are minimized where possible.
    • Records needed to complete a wind-down that the firm agreed to, such as call forwarding during the 30-day routing grace period and telephone number quarantine.
    • Information we are legally required to preserve, for example under a legal hold.

    Retained records are not used for any other purpose and are deleted or anonymized when the retention reason ends.

  8. 8. Timing and Confirmation

    Leadlord acknowledges an emailed deletion request within five business days, confirms the scope with the requester, and completes the deletion within 30 days of confirmation unless a retention reason in Section 7 applies, in which case the response names it. Provider disconnections in the platform take effect immediately and are recorded in the firm audit record.
